{"id":1,"date":"2017-10-04T18:50:52","date_gmt":"2017-10-04T18:50:52","guid":{"rendered":"http:\/\/dreambuilders.us\/?p=1"},"modified":"2025-03-12T17:33:22","modified_gmt":"2025-03-13T00:33:22","slug":"optimizing_your_conference_presentations_for_video","status":"publish","type":"post","link":"https:\/\/dreambuilders.us\/index.php\/2017\/10\/04\/optimizing_your_conference_presentations_for_video\/","title":{"rendered":"Optimizing Your Conference Presentations for Video"},"content":{"rendered":"<div class=\"\">There is an art to creating a usable PowerPoint\/Keynote presentation. \u00a0Lots of open space, high contrast between the type and the background, keeping the words on the slide to a minimum, and keeping the fonts 28pt or larger are some basic suggestions.<\/div>\n<div>\u00a0<\/div>\n<div class=\"\">When that presentation is being video recorded for livestream and\/or subsequent playback there are additional considerations. After conversion be sure to check your pictures &amp; graphics for distortion, and optimize your layout to make use of the extra real estate that 4:3 does not offer. The best format for HD video is <strong>widescreen 16:9<\/strong> or 16:10.<\/p>\n<ul>\n<li><strong>Converting\u00a0PowerPoint\u00a04:3 to 16:9<\/strong><br \/>Windows: Change the size of your slides &#8211; PowerPoint &#8211; Office Support<br \/>\u00a0 \u00a0 <a href=\"http:\/\/bit.ly\/powerpoint16x9\">https:\/\/bit.ly\/powerpoint16x9<\/a><br \/>After conversion, quickly review pictures and graphics for distortion (stretching).<br \/>Here\u2019s a quick trick to get rid of PowerPoint distortion:\u00a0<a href=\"https:\/\/bit.ly\/PPTnoDistort169\">https:\/\/bit.ly\/PPTnoDistort169<\/a><\/li>\n<li><strong>Converting Keynote 4:3 to 16:9<\/strong><br \/>https:\/\/bit.ly\/keynote16x9<br \/>File -&gt; Duplicate to work on a copy of your original document.<br \/>Select \u201cDocument&#8221; in the far right of the editing bar. \u00a0Change Slide Size to Widescreen 16:9.<em> Please note, Widescreen is a better choice than On-screen Show &#8211; both are 16:9.<\/em>\n<\/li>\n<li style=\"list-style-type: none;\">\n<div>\u00a0<\/div>\n<div><strong>POINTER &amp; HIGHLIGHTING\u00a0<\/strong><\/div>\n<ul>\n<li><strong>Pointer<\/strong>. Another way to highlight\u00a0for local and remote audiences is to use an Animated build.\n<ul>\n<li>Add a box or oval around (in bright red or green) around what you wish to highlight. \u00a0Each click can add a new highlight region.\n<ul>\n<li><strong>PowerPoint<\/strong>\u00a0\u2026 Use\u00a0Shape\u00a0to draw rectangle. Set fill = none, line = line 3pt red. On\u00a0Animations\u00a0tab select\u00a0Appear. \u00a0On right side of ribbon set\u00a0Start:\u00a0to On Click<\/li>\n<li><strong>KeyNote<\/strong>\u00a0\u2026 draw the box around highlight area using the\u00a0Shape\u00a0icon. \u00a0On the Format-&gt;Style panel\u00a0set fill = none, border = line 5pt red. \u00a0With box selected choose\u00a0Animate panel:\u00a0Add effect \u00a0Appear, select order, delivery\u00a0all at once.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li style=\"list-style-type: none;\">\u00a0<\/li>\n<\/ul>\n<p>\u00a0<\/p>\n<p><strong>FILE TRANSFER<\/strong><\/p>\n<p>Another challenge is file transfer. \u00a0The livestream is usually active even when the presentations are on break so the remote audience can see what is happening and does not lose connection. That makes accessing the presentation computer nearly impossible. \u00a0Combine that with dozens of presentations arriving throughout the day, some of which are now showing up on encrypted laptops and thumb drives and we have a lot to juggle.<\/p>\n<ul>\n<li><strong>File Naming.<\/strong> \u00a0Imagine if you had a dozen files come in named &#8220;Annual Meeting&#8221;. \u00a0You know what the file is, but we have no idea who it is from. \u00a0<strong>We ask that you name your files first with your Last Name and then something related to the topic you are speaking on<\/strong>. For example, &#8220;Suhr &#8211; Newborn Screening&#8221;.<\/li>\n<li><strong> File Uploads<\/strong>.\u00a0<span style=\"font-size: 1rem;\"><span style=\"font-size: 1rem;\"><span style=\"font-size: 1rem;\">The easiest method we have found to collect files is to create an upload only (not publicly readable) URL for you to upload your presentation. \u00a0You may upload days or hours in advance, or even use the WiFi in the meeting space for last minute uploads.<\/span><\/span><\/span>\n<p><span style=\"font-size: 1rem;\"><strong>We use <a href=\"https:\/\/www.dropbox.com\/help\/files-folders\/received-file-request\">Dropbox&#8217;s File Request<\/a><\/strong> to create an upload-only folder for you to put your presentations into. \u00a0<\/span><span style=\"font-size: 1rem;\">No one else except the production crew can view or access your file. \u00a0<strong>Look for the upload URL in your meeting presenter overview email<\/strong>.\u00a0<\/span><span style=\"font-size: 1rem;\">This also avoids encrypted thumb drive or encrypted laptop access problems.<\/span><\/p>\n<\/li>\n<\/ul>\n<p><strong>It&#8217;s always good to bring an unencrypted thumb drive with you as a backup<\/strong> but it is challenging to stop production to copy a file off of that drive unless we absolutely have to. \u00a0Please use your laptop, or borrow one, to upload to the File Request Folder instead.<\/p>\n<p>Likewise, emailing presentations is not a good work product flow and often presentation files are too large for some email servers. \u00a0We tend to leave email off when producing videos so we cannot access your files in real time.<\/p>\n<p><strong><br \/>UNPUBLISHED DATA &amp; VIDEO RELEASE<\/strong><\/p>\n<p>The conference organizers will ask you to <strong>sign a video release<\/strong>. \u00a0At the same time they will ask about unpublished data. We want to balance the sharing and learning between those present and those remote with the real need to keep unpublished data private until it&#8217;s published. We prefer to blank out\u00a0only\u00a0the unpublished data, rather than not recording your entire presentation.
